Custom Fields

$-Variables (Dollar Sign Variables)

This guide focuses on the use of dollar sign variables ($-variables) in the HaloPSA system. It covers the types of variables that can be used, such as those for PDFs, emails, tickets, invoices, and custom fields. Users can access different variable lists specific to areas like PDF templates and recurring invoice lines. The article explains how to incorporate variables in custom fields, enabling automatic data population when logging tickets. It also provides guidance on formatting variables to control output length and adding prefixes to enhance clarity.

Custom Fields

The article serves as a comprehensive guide on custom fields within Halo, detailing their creation, configuration, and application. It explains the use of different data types for custom fields and their respective input options. The guide includes instructions on setting visibility restrictions, applying access controls, and using variables to populate fields automatically. Furthermore, it covers step-by-step processes for cloning fields and setting validation rules for date fields, highlighting how these features enhance data management and customization within the Halo platform.

Dynamic Custom Fields

This article provides a guide on creating dynamic SQL fields within HaloPSA. It explains how to set up single/multiple select custom fields to retrieve data dynamically using SQL queries. Instructions include configuring the custom fields, constructing SQL queries for user lists related to Tickets, and handling scenarios with large data returns. Additionally, it covers utilizing SQL variables to tailor results based on ticket or user characteristics, and setting defaults to the first returned value from queries. Examples and steps for search functionality in SQL fields are also included.

Dynamic SQL Lookup Fields - Customer Specific Lookup

This guide explains creating customer-specific lookups for dynamic SQL fields using the $-userid variable. By structuring the SQL query appropriately, it will function similarly to $-clientid in customer reporting. The provided script generates a list of sites associated with the current user, filtering out inactive users and excluding generic user accounts, allowing for efficient dynamic field completion.

Lookups

This article explains how to set up and use lookups in a database system. Lookups utilize SQL scripts to auto-populate fields with existing information from the database, enhancing efficiency and reducing manual input errors. The guide outlines steps to create a lookup, connect to databases, and script SQL queries. It includes worked examples and discusses using variables for filtering results, allowing dynamic data population based on user interaction and specific field inputs. The article also covers advanced features in recent software updates.

Password Storing, Sending and Resets

This article explains procedures for managing passwords in Halo, including changing passwords for agents and users, auto-expiring passwords, and resetting passwords via an email link valid for a configurable number of days. It outlines storing external passwords securely using custom fields with AES 256-bit encryption and the option to send passwords through a one-time secure message link. This link can be protected with a passphrase, ensuring the message can only be viewed once. The article offers detailed steps for configuring these features within Halo's settings.
