FieldTypeDescription
Charge Rate Name
Free TextThe name of the Charge Rate returned throughout the UI.
Use
Single SelectTwo possible options: Labour & Travel. 'Use Travel Charge Rates' must be enabled to return the 'travel' option. Labour rates should be used when adding support time to tickets, while travel rates should be used when adding travel time/distance.
Linked ItemSingle SelectItems that are attached to a specific charge Rate can be selected here, i.e. Mobile Phone. The Nominal Codes associated to the Linked item will then be applied whenever this Charge Rate is used. The tax rate set for the linked item on the charge rate can be used when billing actions, this is set in Configuration > Billing > General Settings > *Click into the Tax Settings Tab* and turn on the setting 'Use the tax rate of the linked Item for charge rates when billing Actions'
Use linked Product cost on Invoice lines
CheckboxWhen enabled, the cost of the charge type on invoice lines will be calculated using the cost of the linked item (chosen above). One hour of time logged with this charge type will be equivalent to 1 unit of the linked product. If disabled the charge type will have 0 cost on invoice lines. Enabling this can be useful for cost/revenue tracking.
Product ID for Accounting Integration
Free TextThis should equate to the product code applied to labour/travel invoice lines. The Nominal Code is taken from the Item with the same Accounts ID
Invoice line description
Free TextThis is what will be returned as the invoice line description when invoices are generated for labour. $_variables are accepted here.

Variables shown when selecting Tickets, Invoices or Pre-Pay in the drop-down on the variables page can be used here.
Invoice line long description
Free TextThe long description is a field that can be edited within each item line on an invoice, it allows for larger text inputs. It can also be a field returned on PDF's. $_Variables are accepted.

Variables shown when selecting Tickets, Invoices or Pre-Pay in the drop-down on the variables page can be used here.
Is Deferred RevenueCheckboxThis option will be available when Deferred Revenue is enabled (in Billing General Settings). This is enabled when you would like time logged with this charge type to be deducted from your deferred revenue account, rather than charged to the customer. Used for recognising deferred revenue. For information on how to use this see our guide Deferring Project Revenue.
AgreementSingle SelectIf a charge rate is specific to an agreement, the agreement should be selected from this drop-down. General rates such as 'Remote Support' would be marked as global.

Override Timesheet colour

CheckboxWhen checked, actions that use this charge rate will display as a different colour on the agent's timesheet.
SequenceIntegerThe value entered here will determine the order of the charge types within dropdowns.
ActiveCheckboxDecides whether this charge rate is in use or not in use. When a rate is made inactive this will be visible in overriding charge type tables, the name of the type will show as 'inactive' in the table(s).

Charge Rates Table

FieldTypeDescription
Start date
DateThe date from which the below options are applied
Rate
MoneyThe hourly rate to apply. This can be set to 3 decimal places.
Rate Override
MoneyConfiguration > Billing > Pre-pay provides you with an option to 'use Pay as You Go when Prepay runs out', effectively preventing clients going into a negative pre-pay balance. When this option is enabled and you are using Pre Pay as an amount (Configured at Client level billing settings) & a Rate override is set on this input option, the rate override will be used as the houlry rate once the pre-pay amount has been consumed.
Override rate with the Project budget rate
CheckboxFor this setting to be visible, the budget module must be enabled. When selected this will use the rate defined for the budget type on the ticket. Budget types are created in Configuration > Project Management > Budgets. You must make sure the budget module is turned on (the default is for it to be greyed out)
Minimum Minutes
IntegerDetermines the minimum number of minutes to charge when using this Charge Type
Increment Minutes
IntegerDetermines the increment in minutes to bill by when using this Charge Type. For example the remote support could be set to be billed in 15 minute increments.
Round up dropdownSingle selectWhen "Round up only" is selected, the rates will only be rounded up to the nearest increment if going over i.e. if the increment is set to 15 minutes and the task took 16 minutes, then the customer will be billed for 30 minutes. If round up and down is selected then if the time taken was 22 minutes they would be billed for 15 minutes and if it was 23 minutes they would be billed for 30 minutes.
OOH MultiplierDecimal (2 d.p)Determines what to multiply the base rate by when actions are performed outside of business hours.
Weekend Multiplier
Decimal (2 d.p)Determines what to multiply the base rate by when actions are performed on weekend days (Saturday or Sunday). If you have an OOH multiplier set and the weekend days are considered OOH, this multiplier will override the OOH multiplier.
Holiday Multiplier
Decimal (2 d.p)Determines what to multiply the base rate by when actions are performed during holiday periods.
Contract multiplierDecimal (2 d.p)
If this Charge Rate is being allocated to a Clients contract & the client has run out of their allowance, they can be billed using a modified rate (where the rate is this multiplier of the standard rate).
Use Agents working hours instead of the SLA's for multiplier calculations
CheckboxWhen checked, the OOH/Holiday multiplier is determined by the Working Hours set in the Agent details. When unchecked, the Ticket's SLA working hours are used.
Apply SurchargeCheckboxThe Surcharges module in Configuration > Billing, must be enabled for this setting to be visible. When checked, this charge rate will apply a Surcharge when applicable.
